How a unit schedule comes together, in five passes

  1. Step 01 · Units

    Start with the units, not the names

    In medishift, a med-surg floor, the ED, the OR and the lab each get a work area of their own, with a color and an icon. Staff can belong to several work areas at the same site, so the float nurse who covers two floors stays one person in the system instead of two rows in two spreadsheets.

  2. Step 02 · Shifts

    Save the 7 to 7 once

    Day shift 7 a.m. to 7 p.m., night shift 7 p.m. to 7 a.m., an 8-hour evening shift for the lab: each becomes a shift template with its times, its unit and the headcount it needs. Save a full week as a template and apply it to the next three, six or twelve months, every week or every other week, which is how a rotating pattern gets built once rather than every Sunday.

    Say once who may work where

    Qualifications sit with the person and can be tied to a work area. Put somebody into a shift on a unit they are not qualified for, and medishift flags it while you are assigning, not when a charge nurse spots it on the floor.   4. Step 04 · Rules

    Rules that warn while you fill the week

    Per location you switch on what matters to you: a minimum rest gap between two shifts, a ceiling on hours per day, a cap on consecutive days worked, plus checks for double bookings, absences, unavailability and set working hours. A night shift followed by a day shift the next morning gets a red triangle that names the rule. It is a warning, never a block, so a deliberate exception stays your call.

    Draft until it is right, then every phone at once

    Drafts stay visible to planners only. One action publishes the whole week and notifies the staff it affects on iOS and Android. From then on, open shifts can be picked up in the app, and staff can ask colleagues on their unit to take a shift; the first one to accept gets it, and everyone involved is notified.

The schedule your staff actually check

On their phones, nurses, techs and unit clerks see their own shifts, their unit and their location in the app. They request time off, mark when they cannot work and pick up open shifts there. When a sick call comes in, an admin can tell Kira, which books the absence, takes the person out of their shifts and names who could cover, with the reason each one can or cannot.

No, and it does not pretend to be. medishift fits the managers who build the schedule for a unit, a department or a smaller hospital themselves. It does not connect to an EHR, does not staff by patient acuity, does not run call schedules as a separate function and does not hand hours to payroll on its own. If you need those, an enterprise suite is the better match; if you need a schedule your unit can trust by Friday, this is hospital scheduling software a unit manager can set up without waiting for IT.

No. medishift does not offer HIPAA compliance and does not sign a Business Associate Agreement, and its data is hosted in Europe. It is hospital scheduling software for staff, not patients, so keep patient details out of shift names and notes. If your compliance team requires a BAA for any staff tool, medishift is not the right choice.
